What is a Year End Thank You Letter?

A year end thank you letter is a simple and sincere thank you letter that you can send to anyone to thank them. It is sent at the year ending close to Christmas or New Year’s Eve. It is a great means to bring a smile to someone’s face during the year ending. The main aim of the letter is to express your gratitude and thankfulness towards the receiver of the letter. You can send thank you letters through emails or posts. However, a postcard thank you note is a better way to thank someone who lives close to you as it is more personalized and handwritten. But for someone who lives miles away from you, sending an email is the only alternative.

However, what is more important than the means of the letter is the words and expressions in the letter. A perfect thank you letter includes heartfelt words and phrases. The letter should also be personalized and written in a grateful tone.

When is a Year End Thank You Letter Required?

A year end thank you letter is generally sent at the year ending during Christmas or New Year’s. It can be sent to anyone you want to express your thankfulness towards. They can be your employee, boss, friends, family, students, teacher, etc. A thank you letter can also be used as an invitation to invite someone for Christmas or New Year’s, especially in the case of a friend. Tips for Writing Effective Year End Thank You Letters

Receiving a heartfelt thank you letter filled with emotions at the ending of the year is a great feeling. But for this feeling to be greater, the letter must be written in the correct format and using the right tone. Some of the tips for writing an effective year end thank you letter are given below.

  • Always personalize the letter. Use personal instances and references in the letter to make the reader feel valued. Do not write a generic letter as it will appear as you have just copy-pasted the letter and not put any effort into it. Add a personal touch to the letter to make it more heart-warming and personal.
  • Address the recipient properly by using correct connotations. A few of the examples of addressing people are “Dear First Name”, “Dear Mr. Last Name”. The use of the first name is advisable for letters to those whom you know well like your friends. However, if you are writing a formal letter, it is advisable to address them as Mr., Mrs, Ms, or any other title.
  • Do not play around with words. Make sure to get to the point quickly and let them know the reason for writing the letter in the first or second line only.
  • Give specific details in the letter. If the letter is to an employee thanking him for his contribution, then mention the details of the project taken up by him and how he has been helpful to the company.
  • The tone of the letter is the next most important aspect while writing a year end thank you letter. You should always write the letter in a positive and comfortable tone. Letters written to employees or donors should be in a formal tone while those written to friends or family can be in an informal tone.
  • Do not overdo anything. Only write what is necessary and avoid mentioning the same point again and again. if you reiterate the same thing again, then the reader might lose interest in the letter.
  • Your letter must be able to make the other person feel valued. You should use such words that would sure that the essence of the letter reaches the reader. State that you are thankful and you value the efforts of the reader.
  • In the end, reiterate your thankfulness. It is always advisable to say ‘Thank You’ in the last paragraph of the letter also.
  • Choose the correct closing lines and attributions. It is advisable to use ‘Sincerely’ in formal letters while you can use ‘Yours Lovingly’ in informal letters.

Make sure to follow these tips while drafting a year end thank you letter.
